Cancellation and Refund Policy

This Cancellation and Refund Policy ("Policy") governs all purchases, service subscriptions, project engagements, consultations, software development services, digital marketing services, website development services, application development services, hosting services, domain services, design services, automation services, AI services, and all other products and services provided by Satinova ("Satinova," "we," "our," or "us").

By making any payment to Satinova, accepting a quotation, approving a proposal, subscribing to a service, or engaging our services in any manner, you acknowledge and agree to this Policy.

1. Nature of Services

Satinova primarily provides customized, professional, digital, technical, consulting, and development services.

Most services involve:

  • Allocation of professional resources
  • Technical expertise
  • Planning and consultation
  • Research and analysis
  • Custom development
  • Creative work
  • Digital deliverables
  • Project management
  • Third-party platform costs

Due to the customized nature of these services, refund eligibility is limited as outlined below.

2. Cancellation Requests

Clients may request cancellation of a service by submitting a written request through email or official communication channels.

Submission of a cancellation request does not automatically entitle the client to a refund.

All cancellation requests are subject to review by Satinova.

3. Non-Refundable Services

Unless otherwise required by applicable law, the following payments are strictly non-refundable:

  • Consultation Fees
  • Discovery Session Fees
  • Project Planning Charges
  • Requirement Gathering Charges
  • Research and Analysis Fees
  • Website Design Services
  • UI/UX Design Services
  • Graphic Design Services
  • Logo Design Services
  • Branding Services
  • Software Development Services
  • Mobile Application Development Services
  • SEO Services
  • Digital Marketing Services
  • Google Ads Management Services
  • Social Media Marketing Services
  • AI Development Services
  • Automation Services
  • Technical Support Services
  • Training Services
  • Setup Fees
  • Onboarding Fees
  • Priority Service Fees
  • Rush Delivery Fees
  • Custom Development Charges
  • Dedicated Resource Charges

Once work has commenced, payments made toward such services shall generally not be refundable.

4. Project Initiation and Resource Allocation

A project shall be deemed initiated when any of the following occurs:

  • Advance payment is received.
  • Project planning begins.
  • Team resources are assigned.
  • Internal work commences.
  • Technical setup is performed.
  • Project credentials are created.
  • Consultation sessions are conducted.

Upon project initiation, Satinova incurs operational and resource costs that may not be recoverable.

5. Advance Payments

Advance payments are made to reserve resources, allocate project schedules, and commence work.

Therefore:

  • Advance payments are generally non-refundable.
  • Resource reservation fees are non-refundable.
  • Blocking development schedules is non-refundable.
  • Project onboarding costs are non-refundable.

6. Client Delays and Non-Responsiveness

If a client:

  • Fails to provide required information,
  • Fails to provide approvals,
  • Fails to provide content,
  • Becomes unresponsive,
  • Delays project progress,

for a period exceeding thirty (30) days, the project may be placed on hold.

If inactivity exceeds ninety (90) days:

  • The project may be deemed abandoned.
  • Resources may be reassigned.
  • Previously paid amounts shall not be refundable.
  • Re-initiation may require additional charges.

7. Change of Mind

Refunds shall not be issued for:

  • Change of business plans
  • Change of mind
  • Internal management decisions
  • Budget constraints
  • Business closure
  • Dissatisfaction arising from personal preferences after approval
  • Competitor offerings
  • Delayed business launches unrelated to Satinova

8. Client-Supplied Content and Approvals

Satinova shall not be responsible for delays, revisions, cancellations, or disputes arising from:

  • Incomplete requirements
  • Incorrect information
  • Copyright issues
  • Delayed approvals
  • Client-requested changes
  • Client content quality

Payments already made remain non-refundable.

9. Third-Party Costs

The following costs are strictly non-refundable once incurred:

  • Domain Registration Fees
  • Domain Renewal Fees
  • Hosting Fees
  • Cloud Infrastructure Fees
  • SSL Certificate Fees
  • Advertising Spend
  • Google Ads Charges
  • Meta Ads Charges
  • Software License Fees
  • Premium Plugin Costs
  • Premium Theme Costs
  • API Usage Charges
  • SMS Charges
  • Email Service Charges
  • Payment Gateway Charges
  • Third-Party Subscription Charges

Even where a project is cancelled, third-party costs already incurred remain payable by the client.

10. Milestone-Based Projects

For projects involving milestones:

  • Completed milestones shall be considered accepted unless disputed within seven (7) days of delivery.
  • Payments made toward completed milestones are non-refundable.
  • Cancellation of future milestones shall not affect amounts due for completed work.

11. Monthly and Recurring Services

Recurring services may include:

  • SEO
  • Digital Marketing
  • Hosting
  • Maintenance
  • Support Plans
  • Management Services
  • Subscription-Based Services

Cancellation requests must be submitted before the next billing cycle.

No partial-month refunds shall be issued for active service periods already commenced.

12. Website, Software, and Application Development

Due to the custom nature of development services:

  • Source code creation,
  • Architecture planning,
  • Technical design,
  • Database development,
  • API integration,
  • Quality assurance activities,

constitute billable work.

Refunds shall not be available merely because a project is unfinished if work has already been performed.

13. SEO and Marketing Services

SEO and marketing services involve ongoing effort rather than guaranteed outcomes.

Accordingly:

  • Search engine rankings are not guaranteed.
  • Lead generation is not guaranteed.
  • Sales performance is not guaranteed.
  • Advertising performance is not guaranteed.

Lack of expected business results does not constitute grounds for a refund.

14. Hosting Services

Where hosting services are provided:

  • Fees are charged for infrastructure reservation.
  • Hosting fees are non-refundable after activation.
  • Suspended or terminated hosting accounts are not eligible for refunds.

15. Domain Services

Domain registrations and renewals are final.

Once a domain is registered, transferred, renewed, reserved, or purchased:

  • No cancellation is possible.
  • No refund is possible.

This applies regardless of usage status.

16. Chargebacks and Payment Disputes

Before initiating any chargeback or payment dispute, clients agree to contact Satinova to attempt resolution.

Where a chargeback is initiated despite services having been delivered or work having commenced, Satinova reserves the right to:

  • Suspend services
  • Terminate services
  • Revoke licenses
  • Disable hosted resources
  • Recover outstanding amounts
  • Pursue legal remedies available under applicable law

17. Exceptional Refund Consideration

In rare circumstances, Satinova may consider a refund where:

  • Services cannot be provided by Satinova.
  • A duplicate payment has occurred.
  • A billing error is confirmed.
  • Applicable law requires a refund.

Any approved refund shall remain entirely at Satinova's discretion unless otherwise mandated by law.

18. Processing of Approved Refunds

If a refund is approved:

  • Refunds shall be processed through the original payment method wherever possible.
  • Processing times may vary depending on payment providers.
  • Payment gateway fees, banking charges, administrative charges, taxes, and third-party costs may be deducted where legally permissible.

19. Limitation of Refund Liability

To the maximum extent permitted by law:

Any refund obligation of Satinova shall not exceed the amount actually received by Satinova for the specific service in question.

Satinova shall not be liable for:

  • Loss of profits
  • Loss of business
  • Loss of revenue
  • Loss of data
  • Indirect damages
  • Consequential damages
  • Opportunity costs

arising from cancellations, delays, or service discontinuation.

20. Abuse Prevention

Satinova reserves the right to deny refund requests where there is evidence of:

  • Fraudulent activity
  • Abuse of services
  • Chargeback abuse
  • Misrepresentation
  • Unreasonable demands
  • Attempts to obtain services without payment

21. Governing Law

This Policy shall be governed by the laws of India.

Any disputes arising from this Policy shall be subject to the exclusive jurisdiction of the competent courts located in Telangana, India.
